ONE METHOD FOR CREATING E-MAIL ATTACHMENTS |
BEAR IN MIND THAT I AM USING A METHOD FOR MS WORD 2000 AND THAT MY E-MAIL SYSTEM MAY NOT THE SAME AS YOURS. HOWEVER, IT STILL OUGHT TO WORK PRETTY MUCH THE SAME. IF I WAS HAVING PROBLEMS WITH MY ATTACHMENTS OPENING, AND I WERE YOU, I'D GIVE THIS METHOD A TRY.
IT'S YOUR RESPONSIBILITY, NOT THE INSTRUCTOR'S, TO MAKE SURE YOUR ATTACHMENTS WILL OPEN AND MAINTAIN THE FORMATIING.
Try this.
IN MS WORD
1. Open Word.
2. Type a message
3. Open File menu
4. Select Save asjust like with any new file youd save.
5. Name the file (attachment)and save it. I use people's names and a number designation for attachments I send, for example: Jones1.doc. See that ".doc" suffix? If your file name doesn't show that, your attachment is going nowhere.
6. Close Word.
IN YOUR E-MAIL
7. Open your e-mail.
8. Get it ready to send
Now, in my e-mail, there is an icon to the right of the message box with a paper clip in it. If that is there for you, that is for adding the attachment. Click on that to open up the next dialog box.
9. If you don't have that icon anywhere, try opening File, and then select Attachment. That should open the same dialog box as #8.
10 . When that box opens, you should see among other things a prompt like select file
12. Click on that. It will open a dialog box, whose function is to open files for you. Just like you would open any other kind of file.
13. Go to the directory/folder you saved your attachment to when you made the attachment when you were in Word. I have a folder called "ATTACHMENTS" in my "C" Directory in Word, for example.
14. Find the file name of the attachment, and click open/ok, you know...
So at this stage of the action, I select "C," then the "ATTACHMENTS" folder. When the ATTACHMENT folder opens, I see my saved file: Jones1.doc. I then select Jones1.doc + click OPEN.
15. That, then should place the attachment into your e-mail. You should see the flying W superimposed on a page at the bottom of your e-mail message. Your file name (Jones1.doc) should be in a small rectangle immediately below it. If any of that is not the case, your attachment is going nowhere.
16. To test the attachment, double click on it, and it should open Word and then show you what the attachment contains.
17. MAKE SURE YOU SAVE THE ATTACHMENT AS A WORD DOCUMENT AND THAT YOUR FILE EXTENSION IS ALWAYS .doc.
