Student Mail Options
How to Access Student Mail Options
- From inside Student Mail, click on the Options button
.
Please Note: if you are using a pop-up blocker, you may need to disable it in order to view the Options window.
Explanation of Student Mail Options
Listed below are select options that may be of most value to students. Please note, Student Mail may need to be refreshed or you may need to log out and log back in for the options to completely take effect. For more information regarding Student Mail Options, please review the Student Mail Help file.
- To Save the Option Settings, click on the Save button

- To Exit the Option settings, click on the Close button

Settings under the General Settings Tab
| Option | Description |
|---|---|
| Timeout: | allows the user to determine how long they wish the system to sit idle before Student Mail automatically logs them out. This is a useful security feature, particular if you tend to use public computers, such as the campus labs or the library. |
| Language: | allows the user to select the language of the Student Mail interface. Please note, e-mails will not be translated into the selected language. |
| Messages per Page: | allows the user to determine how many messages they want to automatically display per page. The user can select from 10 to 50 in increments of 5. |
| Short Date Format: | allows the user to determine which format they prefer for viewing dates. For example: writing January 15th, 2004 as 01/15/04 or 15/01/04 or 2004-01-15. |
| First Day of the Week: | a calendar option. Setting the first day of the week will determine what your calendar perceives to be the first day of the week. The default is Sunday. |
Settings under the MailBox Management Tab
| Option | Description |

| Immediate Purge of Deleted Messages: | Yes: whenever a message is deleted, instead of the message simply being marked for deletion, it is automatically permanently removed (or purged) from the account. No: the deleted message remains in the account, marked as deleted, until the message is manually purged. |
| Sent Folder: | Allows the user to select a specific folder in which their sent e-mails will be stored from a drop-down list. The drop-down list will co-incide with the existing folders in the account. |
| Forward All new Messages: | Allows the user to automatically forward all new messages to another e-mail address.
Keep Copy:
Forward To:List the individual e-mail address you wish to forward new messages to.
List one e-mail address per line. |
| Add signature to outgoing message: | Allows the user to automatically attach an electronic
signature to their outgoing e-mails.
Signature:Type the text you want added to the bottom of each message you send. |
Settings under the Rules Tab
From the Help File for Student Mail: Use rules to define actions that you want automatically performed on the user's messages, appointments, tasks, or notes.
When setting up rules, you define the conditions under which you want a specific action performed. A single rule can contain multiple conditions. When setting up the rules, you can move the conditions up or down on the list. The conditions within a rule are executed in sequential order first to last and the rules are executed in sequential order first to last.
Rule actions include:
- Move To: Moves an item to the folder you specify. For example, you have a submission to a monthly e-mail newsletter. When the newsletter arrives, you can have a rule move it to a folder to read later.
- Delete: Marks an item you specify as deleted. For example, if you want to automatically delete messages that contain specific advertisements, you can set up a rule to delete incoming e-mails that contain key words specific to those advertisements.
- Forward To: Forwards an item to the recipients you specify. For example, when you are away on vacation, you can have a rule automatically forward specified mail to a co-worker.
- CC To: Adds a designated address to the CC field. For example, when you send messages about a specific project, you can create a rule that automatically copies members of the project team.
- Accept: Accepts specified appointments, tasks, or notes. For example, when you receive an appointment from your supervisor, you can create a rule that automatically accepts the appointment and adds it to your calendar.
- Decline: Declines specified appointments, tasks, or notes. For example, if, for informational purposes, you are copied on a team meeting but you do not need to attend, you can create a rule that automatically declines these appointments.
- Stop Processing: Stops processing the conditions of the current rule and all subsequent rules. WebAccess executes conditions within a rule and the subsequent rules until a Stop Processing condition is found true. When a Stop Processing condition or rule is found true, WebAccess stops the processing of any additional conditions or rules.

Settings under the Shared Folders Tab
From the Help File for Student Mail: A shared folder or calendar is one that other people (subscribers) can access. Using shared folders and calendars, you can easily collaborate with team members to share project information and correspondence. One advantage is when new members join the team and are given rights to the team’s shared items; they immediately have access to all the messages and calendar items for the project.
When you subscribe to a shared folder or calendar, a local copy of the folder or calendar is created in your mailbox. This index allows you to mark and keep track of the items you have read without impacting the master folder or calendar.
To share a calendar or folder, you can create new folders and calendars or simply share existing ones. You choose who you want to share with and what rights each person has. Subscriber rights are as follows:

| Mark Read: | Allows subscribers to mark the item (on their local copy) as read. This allows subscribers to keep track of the items they have opened. |
| Read: | Allows subscribers to open and view the local copy of the item. WebAccess does not create a local copy of the shared folder for subscribers with read only access. These users read files directly from the master mailbox. |
| Insert: | Allows subscribers to copy an item to the shared folder, which puts the item into the master mailbox. The master mailbox then replicates the item to all the subscribers' local copies of the shared folder. |
| Delete: | Allows subscribers to delete and purge items from their local copy of the shared folder. The owner of the master mailbox can delete items within the master mailbox, but the delete is not replicated to the local mailboxes. However, if the owner of the master mailbox purges an item, it is removed from everyone's mailboxes. |
